Venue bookings will be confirmed (subject to availability) on receipt of the completed application form. An invoice will be raised after the event has taken place.  If a purchase order number is required, this should be submitted at the time of booking.

Pc’s and Laptops are available to hire (subject to availability) for use by delegates. Similarly, if you should require a PC Network set up for any of the Seminar Rooms. Please note Acetates are not necessary when using OHP/3D Projector in our Lecture Theatre. ANY OF THESE REQUESTS MUST BE MADE IN ADVANCE

FOOD REQUIREMENTS:
 
As part of your booking we will supply (Delegate Rate only), Tea/Coffee & Biscuits on arrival, mid-morning and mid-afternoon. Each room will also be supplied with sparkling & still water and sweets on the tables.
For your Breakfast or Lunch requirements please complete the attached “Menu Request” and tick the box below. We are happy to discuss any particular dietary requirements and these requests should be made in advance.

TERMS AND CONDITIONS
 
Confirmation of Venue Booking:
Provisional bookings will be held for 28 days, after which time the booking may be released without further notice.
To confirm a booking you need to complete and return the booking form.
Within 10 days a letter will be sent to you confirming all details based on the information provided.
 
Room Hire:
All delegates rates are based on “8 hours”, any excess hours will be charged at £25.00 per hour or part thereof. Any exceeded hours or part thereof on the day, will be added to the invoice.
All evening and weekend Bookings will be subject to a supplement in addition to the usual rates.
All rates are subject to VAT at the current rate of 17.5%.
Minimum numbers may apply to bookings subject to the room being hired; please see rate sheet for details.
Final numbers of delegates should be confirmed at least seven working days before the event and this will be the number you will be invoiced for. Should these be exceeded on the day, the invoice will be adjusted accordingly.
We will endeavour to cater for most special dietary needs, but these require seven days advanced notice.
 
Cancellations and Transfers:
As a charity we do not ask for a deposit, but we will charge a cancellation fee. See breakdown below:
All confirmed bookings  –   25% of total cost
60 working days prior to the date of room booking  –   50% of total cost
28 working days prior to the date of room booking  –  75% of total cost
10 working days or less prior to the date of booking – 100% of total cost
 
A transfer of dates may be possible, subject to room availability, within a six month period of the original booking. If an alternative date is not possible, or the amended date is subsequently cancelled, the original cancellation fee will apply. A transferred booking needs to be made at the time of cancellation.
 
Payment:
Invoices will be sent to the person named on the booking form after the event has taken place and payment is due within 30 days from the date of invoice.
Payment can be made by cheque or BACS. We do not accept credit card.
 
General:
There will be a charge for any damage or breakages due to misuse or abuse.
No food or beverages may be brought to the centre for consumption; your delegates should be made aware of this.
We cannot accept any responsibility for loss or damage to client’s, or their attendee’s property.
All delegates are required to sign the visitor’s book unless they have their own registration form and in this case a copy must be provided at the start of the day to the centre co-ordinator
We reserve the right to amend our rates without notice should it be deemed necessary.
