Introduction
This privacy notice covers how we will collect, use and store your personal information if you are contracted to complete work for the hospice. Please see our overarching privacy statement for more information about other ways we use your personal data.
The term ‘contractor’ includes all organisations and individuals which invoice for their services provided. This includes all those who enter into any premises occupied by the hospice to undertake specified work or training and are not employed by the hospice in either a paid or voluntary capacity.
What information we collect from or about you
- Name, telephone number, email address
- Number plate recognition (if your vehicle is parked at the hospice site)
- CCTV imagery
- Employer name and contact information + RAMS
How we use your information
We use your personal data for a number of purposes including the following:
- We may use contact details in case of an emergency on site
- We record number plate information to manage the use of the hospice car park
- CCTV imagery is taken on premises to ensure building security
- We have your employment details as part of your contract and would only use them in case of emergency
How we share your information
We will not share your information with other professionals outside of the hospice except Sometimes we have to pass on information about you by law. For example, where a formal court order has been issued; when we find an infectious disease that may endanger the safety of others, or when other organisations like the police or social services need it to prevent a serious crime or where there is a child or adult at risk of abuse or neglect.
CCTV images on hospice site
The hospice site maintains video surveillance technology to deter and assist in the prevention or detection of crime. St Catherine’s Hospice will protect the rights and interests of all individuals, ensuring that processing remains lawful, fair, and necessary, without causing harm and where there is no less intrusive way to achieve the same result.
Video surveillance systems operate continually and may be monitored by employees responsible for the security of visitors to our premises. Access is restricted, documented and audited where appropriate.
St Catherine’s Hospice is the data controller who maintains and controls all the CCTV equipment and monitors, as well as the storage and deletion processes.
Sharing of CCTV Footage
To support our legitimate interests in maintaining a safe and secure environment, we share CCTV footage with Delta Security. They assist us in the prevention and detection of crime. We have a Data Processing Agreement in place that ensures processing remains in line with this intended purpose and upholds the rights of individuals and protects your personal data in line with UK GDPR and the Data Protection Act 2018.
Any footage shared is limited to what is necessary for security purposes. It is transferred securely, accessed only by authorised personnel, and retained only for as long as is required to fulfil these purposes or to meet legal obligations. We do not permit the security company to use the footage for their own purposes.
ANPR – Automatic Number Plate Recognition
We use ANPR technology to capture images of number plates our car parks at the hospice. When visiting the hospice or the Woodgate Hub, we ask visitors to provide their number plate to reception via our ‘Sign In’ app so we can use this alongside the imagery to manage use of the car parks. The car parks on site are for our employees and volunteers, visitors to hospice and visitors of the Woodgate Hub. St Catherine’s will not share this data outside of our organisation unless there is a lawful or safety concern for doing so.
Your Rights
You have the right to:

- How to access copies of what data we may hold
- Object to us making use of your data
- Ask us to restrict or change how we use you data
- Include any corrections to your data

You have the right to make a complaint to the Information Commissioner’s Office (ICO) should you feel that we have not respected your rights. Details can be found on the ICO’s website.
How you can gain access to your record
The Data Protection Act 2018 gives you, or someone acting for you, the right to see or have a copy of your records. We can arrange for you to view your record on a hospice computer with a member of staff or for a paper copy to be provided.
Anyone wanting to access a copy of the record we hold about you, please email HumanResources@stch.org.uk or write to us at St Catherine’s Hospice, Grace Holland Avenue, Pease Pottage, West Sussex, RH11 9SL. We will ask for a form to be completed with details of the request and which parts of the record are required. We may ask for proof of identity (like a passport) and if someone claims to be acting on your behalf we will contact you to confirm the request. There is no charge for these requests.
